Prompt & Pixel ("we," "our," or "us") is committed to protecting the privacy and personal information of our clients and website visitors in accordance with applicable Canadian privacy laws, including Alberta's Personal Information Protection Act (PIPA) and the Personal Information Protection and Electronic Documents Act (PIPEDA). This Privacy Policy explains how we collect, use, disclose, and safeguard personal information.
2. Information We Collect
We may collect the following personal information: name, email address, phone number (optional, provided voluntarily for follow-up purposes only), business name, project details submitted through contact or intake forms, billing information (when applicable), and technical information such as IP address, browser type, and usage data. We collect only the information necessary to provide our services.
3. How We Collect Information
Information is collected when you complete a contact or intake form, communicate with us by email or phone, enter into a service agreement, or interact with our website. Phone numbers are collected only when voluntarily provided through our intake forms and are used solely for project-related follow-up. We may use cookies or analytics tools to understand website usage.
4. Purpose of Collection
We collect personal information to respond to inquiries, provide and manage web design services, generate proposals, contracts, and invoices, communicate project updates, and comply with legal and regulatory requirements. Phone numbers, when provided, are used only for project-related follow-up and are never shared with third parties, used for marketing, or sold.
5. Consent
By submitting personal information to us, you consent to the collection, use, and disclosure of that information for the purposes identified in this Privacy Policy. You may withdraw consent at any time, subject to legal or contractual restrictions.
6. Disclosure of Information
We may disclose personal information to the following third-party service providers as necessary to deliver our services: Vercel (hosting and deployment), Resend (email delivery for contact forms), Supabase (database infrastructure), Stripe (payment processing), Google (Google Drive and Google Docs are used to share project files, contracts, invoices, and deliverables with Clients — Client name, business name, and email address are accessible within shared folders), domain registrars (for domain registration where applicable), and legal or regulatory authorities where required by law. As part of our service, Prompt & Pixel creates and manages all technical accounts required for the project under its own infrastructure. Credentials are transferred to the Client upon request during a full ownership handoff. We do not share personal information for marketing or resale purposes.
7. Data Retention
We retain personal information only as long as necessary to fulfill service obligations, maintain financial records, and comply with legal requirements. For Clients with an active yearly hosting plan, project files and assets are retained for the duration of the hosting period in order to keep the website live and operational. For Clients who are no longer on an active hosting plan, project files and assets are removed from our systems within ninety (90) days of the end of the hosting period or project completion, unless otherwise agreed upon in writing. When no longer required, all other personal information is securely deleted or anonymized.
8. Safeguards
We implement reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, disclosure, alteration, or destruction. However, no method of transmission over the Internet is completely secure.
9. Access and Correction
You have the right to request access to your personal information and request corrections if it is inaccurate. Requests may be submitted to hello@promptandpixel.ca. We will respond within a reasonable timeframe as required by law.
10. Third-Party Links
Our website may contain links to third-party websites. We are not responsible for the privacy practices of those websites.
11. Breach Notification
In the event of a breach of security safeguards involving personal information under our control, Prompt & Pixel will notify affected individuals and, where required, the Information and Privacy Commissioner of Alberta, without unreasonable delay and in accordance with PIPA. 12. Governing Law
This Privacy Policy is governed by the laws of the Province of Alberta and the federal laws of Canada applicable therein, including the Personal Information Protection Act (PIPA) and the Personal Information Protection and Electronic Documents Act (PIPEDA) where applicable.
13. Changes
We may update this Privacy Policy periodically. Material changes will be communicated to active Clients via email. The updated version will be posted on our website with a revised effective date.
